EXHIBITING POLICIES

OH&S AGREEMENT

It is a requirement of participating in Oz Comic-Con that exhibitors and contractors follow the following Heath and Safety regulations Expertise Events Pty Limited safety guidelines shall form part of the Contract Agreement. ONSITE SAFETY
  • Occupational workplace and safety standards are met at all times.
  • Taking reasonable care concerning the health and safety of others at the place of work.
  • Co-operating with the organiser/contractor/venue operator in ensuring a safe and healthy work environment.
  • Reporting potential and actual health and safety hazards to supervisor/contractor/organiser.
  • Obedience to any rules and regulations stipulated by the venue in which you work.
  • All exhibitors, their staff and independent contractors must be aware of and agree to the Occupational Health and Safety (OH&S) requirements as per this document.
  • Adequate protective footwear, that completely covers the feet, shall be worn at all times whilst on site. Thongs and similar unsafe footwear are prohibited.
  • Any children under the age of 15 years are not permitted on site during move-in/out of the exhibition.
  • All exhibitors and associated workers MUST wear safety vests.

ELECTRICAL

  • All electrical work carried out shall be in accordance with industry standards and conducted by licensed operators and all leads should be tagged and tested.
  • Venue power may be switched off half an hour after closing time during show days. If you require 24 hr access to power, please advise Exponet.

PACKING, FREIGHT & STAND SAFETY

  • Fork Lift Trucks – only authorised employees holding a current Certificate of Competence/License issued by the relevant state authority are permitted to operate fork lift trucks.
  • Be aware of forklifts, trucks, and other moving machinery, the driver might not see you.
  • Working areas must be kept clean and tidy from rubbish and other hazards. Rubbish must be cleaned up promptly.
  • All aisle ways, passages and fire exits must be kept clear of general waste and packaging materials at all times.
  • Nails etc. must not be left protruding from any packing case or material
  • All exhibitors are required to have public liability insurance for their stand and to maintain their own workers compensation and superannuation policies.

ONSITE BEHAVIOUR

  • Running, horseplay and disorderly conduct are strictly prohibited.
  • The consumption of drugs and alcohol on venue premises or sites are prohibited while performing site activity, including operating vehicles or equipment. Any employees/sub contractors/exhibitors found to be under the influence of drugs or alcohol will be asked to leave immediately.
  • All buildings are smoke free environments. Please observe the no-smoking rules onsite.
  • Regular Safety inspections will be carried out to ensure procedures are followed.

LADDERS

  • Ladders and access platforms must be used where necessary. Exhibitors and contractors using ladders during construction of a stand must not stand on the top step of the ladder at any time, nor may chairs, crates, or boxes be used as a substitute for ladders.

STAND DESIGN

  • There are a number of regulations involved in what can be done when designing your stand. Rules apply to electrical appliances, flammable material, open flames, raised floors, motor vehicles, water, gas and smoke machines, balloons, and other items. Please speak to the Operations team at Expertise prior to the event if you are unsure about what is restricted.

EMERGENCY PROCEDURES

  • All exhibitors and contractors are required to understand the emergency procedures and evacuation plans of each venue.
  • All persons requiring first-aid treatment are to contact the security or event organiser who is Senior First Aid trained and will render treatments and complete register in injuries log book.

PROPS & ProDUcTS POLICY

Oz Comic-Con takes its commitment to ensuring the safety of its fans seriously and as such has instituted a prop policy for both the general attendees and exhibitors.
  • This policy takes into consideration state legislation that is valid at the time of writing and venue/ security policies. It is the exhibitor’s responsibility to be aware of changes to weapons legislation within EACH state they trade.
  • Oz Comic-Con requires all fans to have their props checked by OCC team upon entering the event. There will be a Prop Check station located at the main entrance of the show. Props deemed in breach of this policy will not be permitted entry and must be cloaked if the fan wishes to attend the event. Prop weapons or other items not permitted on the showfloor that are purchased from exhibitors at the event will be cloaked by the exhibitor and the customer can pick up on their way out of the venue.
  • Exhibitors who intend to sell props, particularly prop weapons, must be aware of the props policy including which props are banned and the process for selling props at Oz Comic-Con.

BOOTLEG/ ADULT/ OR OFFENSIVE MATERIALS POLICY

  • All products displayed and sold on the show floor bust be permissible to be seen by all ages.
  • Explicit material (of a sexual or violent nature) is in violation of our policy and will be removed at the organisers discretion.
  • Exhibitors must only display and sell licensed products, and no “knock off” or “bootleg” products will be permitted. One off artist interpretations, and handmade products may be exempt from this policy.
  • Exhibitors may not sell or display merchandise, propaganda, or symbols of hate speech or discrimination, including but not limited to discrimination based on race, religion, culture, sexual orientation, gender, or identity, at Oz Comic-Con.
  • Where disputes arise on determining if material is considered ‘explicit’ or ‘offensive’, the management of Oz Comic-Con reserves the right to be the final arbiter of whether the offending material needs to be removed.
  • All exhibitors acknowledge that the appointed Oz Comic-Con officers or police may ask for the grounds on which they believe that the product is not infringing any copyright. If no grounds are offered or they are not deemed to be reasonable at the sole discretion of the Oz Comic-Con officer then the Exhibitor will remove the product from sales.
  • Oz Comic-Con staff and/or police may conduct inspections at any time across the weekend. If there are reasonable grounds to believe that an infringement has occurred then the exhibitor will be offered a warning with instructions to remove the offending product or display immediately from their booth. If the exhibitor receives a second notice this will result in immediate expulsion from Oz Comic-Con with no refund or compensation and may result in fines that the Exhibitor will be fully and solely responsible for.
